How to Switch from ServiceTitan in 30 Minutes (2026 Migration Guide)

ServiceTitan is a powerful platform — and it's also $398+/month per user, with a $5,000 onboarding fee, a 12–24 month contract, and a learning curve that takes new dispatchers weeks to master. If you're ready to leave, here's how to do the actual switch in 30 minutes.

This guide is platform-agnostic on the data side (it works for switching to TraqField, Housecall Pro, Jobber, or anywhere else that imports CSVs). The TraqField-specific notes are flagged so you know which steps are universal.

Before you start

Don't cancel your ServiceTitan contract on day one. Run both systems in parallel for 7–14 days. Confirm everything imported correctly. Train your team. Then cut over.

Step 1 — Export your data from ServiceTitan (10 minutes)

ServiceTitan has a built-in CSV export from the admin panel. You need to grab five tables:

  • Customers — name, address, phone, email, custom fields.
  • Service locations — if you have customers with multiple properties (commercial, multi-unit residential).
  • Equipment / assets — for HVAC: make, model, serial, install date, warranty.
  • Jobs / work orders — historical job records with notes, dates, status.
  • Invoices — paid and unpaid, with line items if possible.

In ServiceTitan: Settings → Data Export → New Export. Pick the table, set date range to “All time,” and download as CSV. Repeat for each of the five tables.

Tip

For invoices, also export “Payments” if you want payment history preserved. Most contractors skip this — ServiceTitan stays as the system of record for closed historical financials and the new system starts fresh from cutover date.

Step 2 — Clean your CSVs (5 minutes)

You'd be surprised how much junk data accumulates over years of using ServiceTitan. Quick cleanups before importing:

  • Filter out customers marked as “deleted” or “inactive” that you'll never service again.
  • Standardize phone formats (some ServiceTitan exports have parens, dashes, plus signs — pick one).
  • If you have duplicate customer rows (common when CSRs created records instead of finding existing ones), dedupe by phone or email.
  • Don't delete columns you're not sure about — just leave them. Most importers will ignore extras.

Step 3 — Import into your new platform (10 minutes)

Most modern field service platforms have a CSV import wizard. The steps are similar:

  • Upload customers first. The system creates customer records.
  • Upload service locations next. They link to customers by ID or address.
  • Upload equipment. Links to service locations.
  • Upload jobs. Links to customers + locations.
  • Upload invoices last. Links to jobs.

For other platforms (Housecall Pro, Jobber, Workiz), you'll do column-mapping manually — figure out which ServiceTitan column maps to which destination column. Allow 15–30 minutes for that on each table.

Step 4 — Validate (5 minutes)

Don't skip this. Spot-check the import:

  • Customer count matches what ServiceTitan reports.
  • Pick 5 random customers, verify their address, phone, equipment list look right.
  • Search for a known commercial customer with multiple service locations — confirm the locations linked.
  • Open the most recent 3 jobs, verify dates and notes carried over.

If anything looks off, fix the CSV and re-import that table only (most platforms let you re-import customers/jobs without losing the rest).

Step 5 — Run in parallel for 1–2 weeks

This is the part most contractors skip and regret. Don't cut over cold.

  • Keep ServiceTitan active for incoming calls and dispatch.
  • Mirror new jobs into the new system as they come in (your dispatcher does this manually for 1–2 weeks).
  • Have one tech use the new mobile app on real jobs to surface UX issues.
  • Confirm payments process correctly through the new platform on at least 5 real customer transactions.

Step 6 — Cut over and cancel ServiceTitan

Once parallel testing looks good (typically 7–14 days):

  • Update your phone forwarding / call routing to the new platform's phone number (or AI receptionist).
  • Push notifications to all techs: starting tomorrow, only use the new app.
  • Update integrations (QuickBooks, Mailchimp, etc.) to point at the new platform.
  • Cancel ServiceTitan. Read your contract first — many ServiceTitan contracts have early termination penalties. If you're mid-contract, you may save more by riding out the term in “export-only mode” while the new platform handles all new work.

What about historical data after cutover?

You have three options:

  • Live in the new system, archive ServiceTitan exports. Cheapest. The CSVs sit on a hard drive or Google Drive. You query them maybe twice a year. Most shops pick this.
  • Pay ServiceTitan for read-only access. Some plans allow $99/month read-only seats so you can look up old records. Useful for shops with lots of multi-year customer history.
  • Import everything into the new system. Full historical fidelity. Takes longer (especially for invoices), but means everything lives in one place forever.

Common mistakes to avoid

  • Cutting over on a Monday morning. Cut over Friday afternoon. Use the weekend to triage anything weird before Monday volume hits.
  • Not training the office manager on the new system before cutover. Your dispatcher needs 2–3 hours of focused practice before going live.
